Personal data processed
Whose personal data is processed by Air Navigation Services (who are the “data subjects”)?
- Representatives and responsible persons of organisations providing aeronautical information, such as airport operators, the Finnish Meteorological Institute and Finnish Customs.
- Subscribers to the AIS newsletter.
- People who send us feedback.
Personal data provided to Air Navigation Services by a representative of a data subject or a data subject’s organisation
- Contact information of representatives and persons in charge and other identifying information: first and last name, e-mail, telephone number, name of the organisation and user IDs.
- Name of the subscriber of the AIS newsletter, e-mail and list memberships (information about whether the subscriber has subscribed to the AIS newsletter in Finnish and/or in English). A newsletter subscriber can voluntarily provide other information in addition to those above, such as the reason for the cancellation of the AIS newsletter.
- The name and e-mail of the sender of the feedback message, the content of the message and whether the sender would like a reply to their message.
Data collected by Air Navigation Services on the use the services
- Log data and access rights data of aeronautical data providers’ representatives and persons in charge.
Purpose of processing
Air Navigation Services processes the personal data of representatives and people in charge of organisations that report aeronautical data in order to provide aeronautical information services and to improve the management, traceability and quality of aeronautical data. Data management of the aeronautical information service is subject to statutory requirements, such as the Convention on International Civil Aviation, the Regulation of the European Aviation Safety Agency (Annex VI to ED Decision 2020/008/R) and the Commission Implementing Regulation (EU) 2017/373. The basis for the processing of personal data is the fulfilment of Air Navigation Services’ legal obligations (Aviation Act (864/2014), chapter 10, section 112).
For AIS newsletter, the purpose of the processing is to inform the public about changes in the Aeronautical Information Service and other current issues. The processing of personal data is based on a separate consent given by the subscriber to the AIS newsletter.
Personal data collected through feedback messages is used to process and respond to feedback. The processing of personal data is based on a separate consent given by the sender of the feedback message.
Personal data of the subscribers to the newsletter and senders of feedback messages can also be used for internal statistical purposes at the Air Navigation Services.
Retention periods of personal data
In accordance with Commission Implementing Regulation (EU) 2017/373, Air Navigation Services retains personal data of representatives and persons in charge of organisations that report aeronautical data for a period of five years from the date the representative or the person in charge leaves that role. Data on user IDs and access rights is retained for as long as the access rights are valid. Log data is retained for five years pursuant to virtue of the European Aviation Safety Agency's regulation (Annex VI to ED Decision 2020/008/R).
Data on newsletter subscribers is retained for as long as the subscription is in force.
Personal data collected through feedback messages is retained for as long as necessary for the processing of the feedback messages.
